We are seeking a Head Dental Receptionist to oversee front-desk operations across three busy dental practices, driving excellence in patient experience, team performance, financial accuracy, and commercial growth.
This role is ideal for a confident, organised, and motivated leader who enjoys managing teams, improving systems, supporting revenue growth, and maintaining exceptional service standards across multiple locations.

About the Role
As Head Dental Receptionist (Multi-Clinic), you will lead and support reception teams across multiple sites, ensuring consistent high standards, smooth operations, strong patient satisfaction, and achievement of performance targets.
You will play a key role in:
Leading and mentoring reception teams across all practices
Ensuring smooth, professional front-desk operations
Managing rotas, staffing levels, and team coverage
Supporting treatment conversion, marketing initiatives, and practice sales
Driving continuous improvement across all sites
Key Responsibilities
Team Leadership & Operations
Ensure reception desks run efficiently across all assigned practices
Supervise, coach, and mentor reception staff
Deliver training sessions and ‘Lunch & Learns’
Maintain excellent patient service standards across all sites
Support Practice Managers with operational oversight and performance improvements
Rota & Staff Management
Manage reception rotas, ensuring they are fair, balanced, and submitted on time
Ensure adequate staff coverage, including cross-training team members where needed
Maintain 100% compliance with rota deadlines and staffing standards
Financial Accuracy & Administration
Oversee banking, petty cash, and financial reporting across locations
Maintain 100% accuracy across financial audits
Ensure accurate patient records, payments, and reporting
Complaint Resolution & Patient Care
Manage and resolve escalated patient complaints professionally
Aim to resolve 95%+ of complaints at practice level
Maintain high levels of patient satisfaction, retention, and service quality
Grow Google review scores
Sales, Marketing & Growth
Support and promote treatment options, special offers, and upgrades, including:
Teeth whitening
Membership plans
Cosmetic upgrades (e.g., amalgam to white fillings)
Specialist consultations
Help deliver marketing campaigns to grow private income and treatment uptake
Lead by example in achieving commercial targets, including:
10+ plan sales per month personally
10+ whitening cases per month personally
Supporting team targets for plans, whitening, and sundries sales
Continuous Improvement
Identify, suggest, and implement operational and service improvements
Deliver at least 2 improvements per quarter
Contribute to monthly leadership and performance meetings
Ideal Candidate
Proven experience in dental reception, TCO, or dental practice administration
Confident in leading teams across multiple sites
Highly organised with strong time management and problem-solving skills
Comfortable discussing treatments, pricing, and finance options
Commercially aware with an interest in sales, marketing, and patient conversion
Professional, proactive, and patient-focused
Driving licence and ability to travel between sites preferred
Dental background essential
